Legal Office Associate
Location : Chandigarh, Dehradun, Goa
Experience : 6 months - 1 year
Role Overview :- We are seeking a highly organised and detail-oriented Legal Office Associate (LOA). The LOA will play a critical administrative and operational role in managing legal documentation, tracking compliance, and submission paperwork for campaign operations. The role requires strong organisational skills, attention to detail, and the ability to coordinate with multiple teams to keep legal processes on schedule.
Key Responsibilities :- 1. Record Management & Compliance Tracking
● Organise and maintain legal documents from internal teams, ensuring proper filing, naming, and version control for easy access and retrieval.
● Maintain trackers for multiple legal workstreams, timelines and outcomes, and circulate periodic status updates and follow-up lists to relevant stakeholders, covering pending actions, upcoming deadlines and matters requiring further follow-up.
● Maintain submission and approval records, including filing acknowledgements, supporting documents and audit trails.
2. Preparation of Legal Documents & Submissions
● Prepare forms, databases, compliance records and submission-ready documents in the approved formats, as directed by the Senior Legal Consultant or Legal Consultant.
● Assist in compiling documentation required for permissions, representations, complaints and other routine legal matters.
3. Monitoring and Reporting
● Monitor designated media and social-media channels for potential violations; compile links, screenshots, dates, and basic violation details for legal review.
● Prepare End-of-Day (EOD) reports and other routine legal reports.
● Escalate discrepancies or other operational issues to the concerned Legal Consultant.
4. Coordination
● Coordinate with relevant internal teams for documents, inputs and routine follow-ups as directed by the Legal Consultant/Senior Legal Consultant.
● Coordinate with the ECI for collection and follow-up of required certificates only.
● Support the Legal Team in maintaining timely and systematic execution of day-to-day legal operations.
Required Qualifications and Skills
1. Education Qualification
● Bachelor’s degree in Law (LL.B.) preferred.
● Alternatively, a Bachelor's degree in Political Science, Public Administration, or any related discipline may also be considered.
2. State And Language Familiarity
● Familiarity with the state and its administrative environment, including relevant local institutions and processes.
● Proficiency in English, Hindi, and relevant vernacular language(s) of the state.
3. Technical Skills
● Basic understanding of election procedures and processes.
● Proficiency in document management systems and version control practices.
● Strong organisational skills with attention to detail.
● Working knowledge of Google Docs and Google Sheets.
● Ability to prepare forms, checklists, and compliance documentation accurately.
4. Soft Skills
● Excellent written and verbal communication skills.
● Ability to work under tight deadlines in a fast-paced campaign environment.
● Strong interpersonal skills for coordination with multiple teams and external agencies.
● Discretion and confidentiality in handling sensitive legal and campaign information.
5. Preferred Experience
● Prior experience in election campaign operations, legal compliance, or political consultancy.
● Familiarity with Election Commission of India guidelines, Model Code of Conduct, and related compliance requirements.
6. Working Conditions
1. Campaign-period contractual role with extended hours during peak election activities.
2. May require coordination across multiple offices and field locations.
3. Must maintain strict confidentiality of campaign and legal information.
