Job Description: Assistant Manager – Administration & Facilities

Role Purpose
To manage administration, facilities and infrastructure across skill-development projects, training centres, residential facilities and offices, ensuring operational readiness, learner comfort, compliance and cost efficiency.
Key Responsibilities
· Manage administration and facility operations of training centres, project offices, hostels and residential academies.
· Ensure timely centre readiness, including classrooms, labs, furniture, IT equipment, power backup, internet, signage and basic amenities.
· Manage housekeeping, security, transport, catering, accommodation, maintenance and utility services.
· Coordinate infrastructure setup, relocation and closure of training centres as per project timelines.
· Manage vendors, quotations, negotiations, work orders, billing verification and service-level performance.
· Maintain fixed-asset records and conduct periodic physical verification of equipment, tools, furniture and project assets.
· Ensure learner and staff accommodation, food, hygiene, safety and grievance resolution at residential centres.
· Monitor administration budgets and drive cost optimisation without compromising quality or project delivery.
· Ensure fire safety, workplace safety, statutory licences, insurance and project-specific compliance.
· Support audits and inspections by clients, government departments, Sector Skill Councils and funding agencies.
· Coordinate employee and learner travel, local transportation, events, assessments and project visits.
· Maintain administration MIS, expense trackers, maintenance schedules, asset registers and vendor documentation.
· Work closely with Operations, HR, Finance, Procurement, IT and Quality teams for seamless project execution.
· Undertake regular travel to training centres and project locations.
Candidate Profile
· Graduate in any discipline; MBA/PGDM in Administration or Operations will be preferred.
· 5–7 years of experience in administration and facility management.
· Experience in skill development, education, training centres, residential campuses or multi-location projects will be preferred.
· Strong knowledge of vendor management, budgeting, procurement, asset control and facility compliance.
· Strong negotiation, coordination, documentation and problem-solving skills.
· Proficiency in MS Excel, MIS reporting and digital administration systems.
