Key Responsibilities:
a. Pre-Processing andOnboarding Vetting : The role initiates the vendor lifecycle through comprehensive due diligence and legal screening to ensure all partners meet corporate standards. It validates business licenses, tax registrations, and insurance certifications while reviewing draft agreements for unfavorable terms or legal inconsistencies. By verifying these credentials upfront, the position mitigates institutional risk and ensures only compliant vendors are on boarded.
b. Processing and Active Monitoring: During active engagements, the role monitors payment compliance by cross-referencing invoices against approved Purchase Orders and executed contracts. It coordinates with internal stakeholders to confirm work milestones are legally achieved before authorizing any disbursements. Additionally, it ensures strict adherence to regional tax laws, verifying that all statutory deductions are accurately calculated and applied.
c. Post-Processing and Audit Oversight : Following payment, the role transitions into a reconciliation function to maintain a transparent financial trail. It performs regular audits to identify and rectify overpayments or billing errors while maintaining a secure, organized repository of all vetted documents for audit readiness. If discrepancies arise, the position leads the investigation with the Finance and Legal departments to resolve disputes and secure refunds.
d. Lifecycle Document Vetting : The position continuously vets the ongoing legal eligibility of active vendors by tracking the expiration of critical compliance documents, such as recruitment licenses and professional indemnity insurance. It proactively requests and evaluates updated documentation before existing credentials lapse. This ongoing scrutiny ensures that every vendor supporting the Deputy Manager remains fully compliant and legally authorized to operate throughout the entire duration of the contract.
