Profile: The Assistant Manager – Finance & Accounts

Roles & Responsibility
The Assistant Manager – Finance & Accounts will be responsible for end‑to‑end accounting, financial reporting and statutory compliances of the organisation, with a particular focus on donor‑funded and CSR projects. The role includes preparation of books of accounts, finalisation of balance sheet, donor utilisation reports, and ensuring timely compliance with Income Tax and NGO‑specific regulations (including CSR and other applicable laws).
Key Responsibilities
Accounting and Financial Reporting
1. Manage day‑to‑day accounting for the NGO, including project‑wise and donor‑wise bookkeeping in the accounting software (Tally/ERP).
2. Prepare monthly, quarterly and annual financial statements, including Income & Expenditure, Balance Sheet and Receipts & Payments.
3. Ensure accurate cost allocation across projects, donors & locations as per approved budgets.
4. Perform monthly closing activities including bank reconciliations, inter‑project reconciliations and review of all the projects.
5. Budget vs actuals, Variance analysis , Cost Control, Cash Flow, Projections and MIS.
Donor / CSR Project Finance & Utilisation Reporting
1. Prepare donor‑wise utilisation statements, fund position reports and supporting schedules as per donor/CSR partner formats and timelines.
2. Track project budgets vs actuals, analyse variances, and share periodic MIS with program and management teams.
3. Ensure all project expenses are booked with complete supporting documentation, approvals and donor compliance.
4. Coordinate with program teams to support proposal budgeting, rephasing, and financial inputs for new CSR and grant proposals.
NGO Statutory & Regulatory Compliances
1. Ensure timely and accurate compliance with Income Tax provisions applicable to NGOs.
2. Support compliances related to CSR, and other NGO‑specific statutes and registrations, in coordination with consultants where required.
3. Prepare and maintain documentation required for statutory, internal and donor audits; coordinate with auditors and ensure timely closure of audit queries.
4. Monitor changes in relevant laws and regulations applicable to NGOs and highlight implications to management.
Internal Controls and Processes
1. Implement and strengthen internal financial controls, including documentation standards, approval workflows.
2. Review supporting documents for payments (vendor, staff, consultants, partners) to ensure correctness, approvals and compliance with policies.
3. Support development and updating of finance and accounting SOPs, including procurement, advances, reimbursements and asset management.
Qualifications and Skills
Education: MBA (Finance) / M.Com / CA Inter preferred.
Experience: 6–8 years of hands‑on experience in finance and accounts, preferably in NGOs / development sector / CSR implementing agencies.
Technical Knowledge
Strong knowledge of NGO accounting, fund‑based accounting, and preparation of financial statements.
Good understanding of Income Tax and other statutory compliances applicable to NGOs and CSR projects.
Tools
Proficiency in Tally or similar accounting software, and strong working knowledge of MS Excel and MS Office.
