Job Title Platform & Vendor Coordinator (Contract Position)
Location [MTB Site / Bangalore, India] - Onsite Role Overview
We are looking for a Platform & Vendor Coordinator to support the MTB software organization in two key areas:
1. Asset / Device Management – Manage all development and customer devices (platforms, tablets, boards, cameras, etc.) used by the team, including tracking, storage, lending, and shipping according to internal and customer policies.
2. Vendor / Contract Employee Coordination – Coordinate onboarding, offboarding, access, timesheets, and day-to-day administrative support for third-party / contract engineers working with our team. This is a contract role (through a third-party company), reporting to the MTB site leader (or designated manager). Key Responsibilities A. Asset & Device Management
• Device Receipt & Registration • Receive devices from customers and other MediaTek sites.
• Register all devices in the LGMS asset management system (or equivalent), strictly following the format and guidelines provided by the Customer Program Manager (CPM).
• Ensure borrowing period and ownership details are correctly recorded (default borrowing period: 30 days, unless specified otherwise).
• Storage & Lending
• Store unused devices safely in the lab or designated storage areas
. • Issue/lend devices to R&D team members based on approved requests, and record each lending transaction in LGMS.
• Track borrowing periods and follow up with users for timely return or renewal.
• Device Return & Record Maintenance
• Collect devices that are no longer in use, check their condition, and update LGMS records to reflect return/availability.
• Regularly review LGMS to ensure all devices have:
• Clear status (in use / available / under repair / shipped)
• Correct assignee and location.
• Shipping & Receiving Devices (Strict Compliance)
• Act as the single point of contact to ship/receive customer tablet devices and other sensitive hardware.
• Normally, R&D engineers are not allowed to ship customer devices directly.
• Ensure every shipment follows security and confidentiality rules:
a. Use opaque packages only. b. Do not label packages with any information that reveals:
• Customer name (e.g., Amazon) • Customer project • Customer device details c. On-site, witness and confirm that the courier uses tamper-evident tape to seal the package. • Record detailed shipment information: • Shipping number / AWB • Recipient name and site • Date and content summary (using internal project codes where needed). • Always confirm with the project CPM (or designated owner) before shipping devices off-site. • Receive incoming shipments, verify the contents against shipping lists, and update LGMS accordingly. • Audits & Compliance • Assist with device audits for customer or internal projects: • Prepare up-to-date asset lists. • Help locate and validate devices physically. • Support audit documentation and responses. • Ensure compliance with customer and internal policies for: • Confidential handling • Storage • Shipment • Disposal/return, if applicable. B. Vendor & Contract Employee Coordination • Onboarding Support • Coordinate with HR, procurement, and vendor companies to support onboarding of contract engineers, including: • Tracking joining dates and initial assignments. • Ensuring required access requests are raised (badge, VPN, email if permitted, code repositories, JIRA, etc.). • Ensuring required induction/training sessions are scheduled (security, IP, process training). • Maintain a current roster of all contract employees with: • Name, vendor, start date, expected end date • Manager/lead, project, and location. • Access & Compliance Management • Monitor and help maintain correct access rights for vendor employees (tools, labs, devices), in alignment with security and project rules. • Coordinate regular checks that: • Access is appropriate for the project. • Access is revoked/adjusted when project scope or engagement changes. • Timesheet & Approval Process Management • Act as the coordinator for vendor/contractor timesheets: • Track timesheet submission cycles (weekly/monthly) as per vendor contracts. • Remind contract employees and their reporting leads of upcoming/overdue submissions. • Perform basic checks on timesheets for completeness and alignment with assigned projects. • Facilitate the approval workflow: • Route timesheets to the appropriate approvers (team leads / site leader). • Track pending approvals and follow up to avoid delays. • Maintain a simple log of submission and approval status for audit or billing queries. • Coordinate with vendor SPOCs and internal finance/PMO (if applicable) to resolve discrepancies (e.g., incorrect project codes, hours mismatch). • Day-to-Day Coordination • Act as an administrative point of contact for vendor employees regarding: • Device needs and returns (in coordination with asset management responsibilities). • Seating/desk arrangement changes (if applicable). • Basic process-related queries (directing them to the right internal teams as needed). • Support team leads in tracking: • Attendance/compliance for vendor staff, as per internal and vendor policies. • Offboarding & Contract Closure • Coordinate with vendor companies and internal stakeholders for timely offboarding of contract engineers: • Ensure all devices, badges, and assets are returned. • Confirm tool and system access is revoked on time. • Update internal rosters and records to reflect offboarding. • Maintain clear documentation of asset handback, access closure, and last working dates. Required Qualifications & Skills • Education • Bachelor’s degree in Engg field or related field, Business or related field, OR equivalent practical experience. • Experience • 3–6 years of experience in coordination / administration roles in an engineering, IT, or lab environment, such as: • Lab coordinator, asset manager, project coordinator, or similar. • Prior experience with: • Asset management systems (e.g., LGMS or similar tools). • Vendor / contract staff coordination, including timesheet or billing support, is a strong plus. • Skills & Competencies • Strong attention to detail and discipline in record-keeping. • Basic understanding of an R&D / engineering environment (devices, boards, test setups). • Good communication skills (written & verbal) to interact with: • Engineers and team leads • Vendors • Customer program managers • Logistics/courier partners • Ability to follow strict processes and confidentiality rules, and to enforce them politely but firmly. • Proficiency with: • Excel/Sheets and basic reporting. • Tracking tools (JIRA, internal portals, timesheet systems) is a plus. Personal Attributes • High sense of ownership and reliability – devices, access, and timesheets affect billing, compliance, and customer trust. • Organized and systematic in managing multiple parallel tasks (shipments, audits, onboarding, timesheets). • Comfortable working in a cross-functional, multi-site environment. • Proactive in spotting gaps (e.g., missing records, delayed timesheets, access not revoked, overdue devices) and driving closure.
